How Equinox College collects, uses and protects your personal information.

About this policy

Equinox College (Exell Training Pty Ltd, ABN 86 166 217 438, RTO 45040) is committed to protecting your personal information. We handle it in line with the Privacy Act 1988 and the Australian Privacy Principles. This page summarises our Privacy Protection policy.

Why we collect your information

As a Registered Training Organisation, we are required by law to collect, store and report information about our students. This includes the Data Provision Requirements 2020 (national AVETMISS data standard) and the Student Identifiers Act 2014, which requires us to create or verify your Unique Student Identifier (USI).

We must keep training records for up to 30 years and report training activity to government agencies.

What we collect

  • Contact details such as your name, organisation, position, address, phone number and email.
  • Identity documents (for example a driver licence, passport, birth certificate or Medicare card) when needed to check eligibility for subsidised training or to create your USI.
  • Information from satisfaction surveys, complaints, and about employers we work with.

Sensitive information

Some information we collect is treated as sensitive, including disability or long-term impairment status, Indigenous status, language spoken at home, English proficiency and country of birth. This is required for national VET data collections and surveys, and may be used for VET-related research. Dietary requirements are collected for event catering only.

How we use and share your information

We use your information to deliver your training and support services, and to meet our reporting obligations to the Commonwealth Government and, for subsidised training, the relevant State or Territory Government agency. Where needed to achieve an outcome such as a licence, we may also provide information to other relevant government or responsible agencies.

We only disclose personal information for the purpose it was collected, where you have agreed, where you would reasonably expect it, or where the law requires it. We never sell or share mailing lists or student contact details with third parties.

Some service providers we use to run this website and our communications may store or process information outside Australia, as described in the advertising section below.

Information we did not ask for

If we receive personal information we did not request and do not need to provide our services, we will destroy or de-identify it as soon as practicable and let the person know.

Marketing

We respect your right not to receive marketing. Every marketing message includes an option to unsubscribe. We follow the Spam Act 2003 and the Do Not Call Register Act 2006, and we do not cold call.

Keeping your information accurate and secure

We keep your information accurate and up to date, and check your contact details when you return for a new enrolment. We protect information through secure storage, restricted access, encryption of data held in our student systems, regular backups and staff training. Information we no longer need is disposed of securely.

Accessing or correcting your information

You can ask to see or correct the personal information we hold about you. There is no charge for access or correction, although an administration fee may apply if you ask for copies. Details are in the "Your Privacy" and "National VET Data Policy" sections of the Student Handbook.

Questions or complaints

If you have a question about your privacy, or want to make a request or complaint, please contact us. You can also use our complaints and appeals process.

Advertising measurement (Meta Pixel)

We use the Meta Pixel, a tool from Meta Platforms (Facebook and Instagram), to measure how well our advertising works and to show our ads to people who are more likely to be interested in our courses.

What is shared with Meta

  • The pages you visit on our website.
  • When an enquiry form is sent (recorded as a "Lead").
  • When the online enrolment form is sent (recorded as a "Completed registration").
  • Technical details Meta collects automatically, such as your browser, device, IP address and Meta cookies.

We do not send Meta your name, email address, phone number or the answers you give in our forms. Staff areas of the website are never tracked.

Who it applies to

The Pixel is not loaded for visitors in the European Union, European Economic Area, United Kingdom or Switzerland, or when we cannot tell where a visitor is located.
